This Privacy Policy sets out the essential details relating to your Personal Information relationships with AbsenceSoft as:

  • End-user of the Application (“End User”)

Clients contract the use of our Application and give access to their employees and other third parties, as solely decided by them, by creating users who access the Application with their email address and credentials. The Clients’ administrators grant End Users roles, which result in different permissions and access rights to the information held in the Client account. This Privacy Policy describes how we use the information we collect, with whom we share it, how we protect it, and the choices we offer you regarding our collection and use of such information.

We may ask you to provide information that can uniquely identify you (“Personal Information”) when:

If you choose to provide us with a third party’s Personal Information (including the person’s name, email and company) when taking part in our referral program, you acknowledge and agree that you have the third party’s permission to share their Personal Information with us.

The Personal Information we collect may include first and last name, email address, phone number, and company name.

As an End User of the Application, we collect your name, email address and the information from any comments you make in the Application.

In addition, we may collect data uploaded by you, your employer or other users of the Application that may be required to use the Services. We expect all users to follow their organization’s privacy policy and any applicable regulatory requirements when uploading, accessing and using Personal Information into our Application. Please note that sometimes we may record the video conferencing call in which you participate in order to analyze and improve our staff’s communication skills. If we do so, we will clearly announce it at the beginning of the conference call.

If you are an End User of our Application, your Personal Information may be viewed by other users with access to the Application and the appropriate permission levels.

We do not process Personal Information through the use of automated means.

How long we keep your Personal Information

We retain information as long as it is necessary to provide the Services to you and our Clients, subject to any legal obligations to further retain such information.

Employer Responsibility. As an Application End User, you consent to our collection of your Personal Information when you log in for the first time. However, your employer has control of the account and may upload and share additional Personal Information. It is your employer’s responsibility to ensure the collection, use and sharing of the Personal Information uploaded to the Application complies with all applicable legislation. Please note that we are not responsible for and have no control over the types of information your employer (our customer) or you store in or upload to the Services. As such, we shall not be liable to you for any information stored or uploaded to the Services by you or your employer.

Consent. Where we rely on your consent to process Personal Information, you have the right to withdraw or decline your consent at any time. If you have any questions about the lawful bases upon which we collect and use your Personal Information, please contact us at support@absencesoft.com.

Do Not Track. Your web browser may let you choose your preference as to whether you want to allow the collection of information about your online activities over time and across different websites or online services. California Notice. California Civil Code Section § 1798.83 permits users of our Services who are California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes. To make such a request, please contact us.

Children. The Services are not directed to, and we do not knowingly collect or solicit personal information from, children under the age of 13. Request to Access My Personal Information

You have the right to request access to the personal information we may have collected about you.

Requests to access your personal information may be submitted up to two times in a rolling 12-month period. In response, we will return to you the following categories of information, to the extent required by law:

Delete My Personal Information

You have the right to ask that we delete your personal information. Once we receive a request, we will delete the personal information (to the extent required by law) we hold about you as of the date of your request from our records and direct our service providers to do the same. Choosing to delete your personal information may impact your ability to use our websites and online features, including closure of your online account, and limit your use of in-store functions that require your personal information.

Stop Sharing My Personal Information

You have the right to opt-out of the sharing of your personal information and can request that we stop by contacting us at support@absencesoft.com.

Your opt-out request may be processed differently depending on whether you are logged into your account. If you are logged in, your preference will be associated with your account, and the device on which you exercised your choice. When you log in from another device or browser, it too will be automatically opted out. If you are not logged into your account, your request will only be associated with that one browser.

If you change your preference from opt-in to opt-out, you may be asked to confirm your preference prior to it taking effect. After opting out of the sharing of your personal information, you may still receive advertising communications from AbsenceSoft; however they will not be tailored to you.

Correct My Personal Information

You have the right to ask that we correct the personal information we may have collected about you if that information is inaccurate. We reserve the right to request identifying documentation from you in certain circumstances, as permitted by law.

Limit the Use and Disclosure of SPI

You have the right to ask that we limit our use and disclosure of your SPI to certain purposes permitted by law.

We will not discriminate against you for exercising your rights. We will not deny you goods or services, charge different prices or rates, provide a different level of service or quality of goods, or suggest that you might receive a different price or level of quality for goods. Some programs or membership services require usage of personal information to function, so compliance with your request may impact those experiences.

How Do We Verify Your Identity to Complete Your Access, Correction, and Deletion Requests

If you request access to, or the correction or deletion of, your personal information and we have access to any such information, we will verify your identity before disclosing the requested information. To do so, we may ask that you log into your account or provide us with your:

  • Phone number

If we are not in possession of any personal information at the time of your request, we will direct you to request such information from your employer. Otherwise, you will be asked to answer a few questions about yourself to help us verify your identity. You may be asked to log into your online account and complete a one-time passcode validation. In the event more documentation is necessary to verify your identity, we will notify you directly.
